What this policy covers
Your privacy is important to us, and so is being transparent about how we collect, use and share information about you. This policy is intended to help you understand how we look after your data when you apply for a role at Frontier Developments, by explaining:

This policy also explains your rights about how the information we hold on you is used. Your rights include how you can object to certain uses of information about you and how you can access and update certain information about you.
It is important that you read this policy, together with any other policies we may provide to you throughout your application so that you understand how and why we process your data.
If you do not agree with this policy please refrain from submitting a job application.
What information we collect on you
Data categories
We may collect, use, store and process different kinds of personal data about you, which we categorise as follows:

We only collect Equal Opportunities Data in an optional questionnaire after you apply for a job, and all data is stored anonymously, and will not affect your job application in any way.
Failure to provide information
If you fail to provide any information that we require under law or terms of a contract we have, or may enter into with you, we may not be able to proceed with the processing, meaning that your application cannot be considered
How we collect information about you
We use different methods to collect information about you, as outlined below.
Information you provide us directly
We collect information in all of the above categories that you provide us directly, for instance through direct communication such as email and phone, or via our careers website.
Information we collect from third parties
We collect information provided to us by third-party recruitment agencies who make an application on your behalf.
We collect information from responses to adverts on third party job boards and LinkedIn.
The information we collect is the same as the information you would provide directly to us, as outlined in the table above.
Third-party recruitment agencies will NOT provide us with any equal opportunities data. This information is only collected from you directly through an optional questionnaire.
We advise you to check with the agency you are using what information they are providing us.
How we use the information we collect
We will only use your personal data when legally permitted. Most commonly, under the following circumstances:
- Contract - Where we need to be able to enter into, or have entered into an employment contract with you;
- Legitimate Interest - Where it is necessary for our legitimate interests, and your interests and fundamental rights do not override those interests;
- Legal Obligation - Where we need to comply with a legal or regulatory obligation;
- Consent - Where we have gained your consent.
How we use the information depends on the role you are applying for and how far you progress in the recruitment process. We have set out below all the ways we plan to use your personal data, and on what basis.

How we share the information we collect
We share information we collect about you in the ways discussed below. We are not in the business of selling information about you to advertisers or other third parties.
Sharing information with hiring managers
Your information is shared within our recruitment team and relevant hiring managers, who will assess your application.
The only hiring managers who can see your information are the ones who are hiring for the role(s) you have applied for.
In the case of you being suitable for another role, your information will be shared with the hiring manager for that role.
Sharing information with third parties
In the case of your application being handled by a third-party recruitment agency, we will share feedback regarding your application with them to be passed onto you.
We only share the information during the application process.
If a candidate is hired, we will inform the recruitment agency so they can collect their fee from us.
We will share your information with third-parties when instructed to do so to fulfil a legal obligation. For example, if you require a visa to work for us, we will need to share your information with UK or Canadian immigration lawyers and authorities (dependent on the location of the role).
How we store and secure information we collect
Information storage and security
We use data hosting service providers in the EU to host the information we collect.
We have put in place appropriate security measures to prevent your personal data from being accidentally lost, stolen, altered, erased, disclosed, used or accessed in an unauthorised way. In addition, we limit access to your data to authorised and trained personnel.
We do not give your data to any third parties, other than communication with any recruitment agency that may have passed us your details in the first place.
While we implement safeguards designed to protect your information, no security system is impenetrable and due to the inherent nature of the Internet, we cannot guarantee that data during transmission through the Internet or while stored on our system or otherwise in our care, is absolutely safe from intrusion by others.
How long we keep information
All your information will be deleted after 12 months in our applicant tracking system.
Any information you send us in relation to a job application will be placed on your account in the applicant tracking system.
Should you be successful, we will keep your information and it will become subject to our employee privacy policy, which you will receive with your contract.
How to access and control your information
Under certain circumstances, you have rights available to you when it comes to your information. Below is a brief summary of those rights:
Your rights
- Request access (commonly known as a 'data subject access request'). You may obtain a copy of the personal data we hold on you and to check that our processing is lawful.
- Request correction. You may request that we correct any incorrect or incomplete personal data that we hold on you.
- Request erasure. You may request that we remove your personal data once there is no good reason for us to continue processing. Note that it may not be possible to comply with this request for certain legal reasons, which we will notify you of.
- Object to processing. Where we rely on legitimate interest, you may object to us processing your personal data.
- Restrict processing. you may ask us to stop processing data for a period if data is inaccurate or there is a dispute about whether or not your interests override our legitimate grounds for processing data.
- Data portability. You may request a copy of information you have provided to us in a structured, commonly used, machine readable format. You may request that this be passed directly to another data controller.
- Withdraw consent. You may withdraw consent you have given to us at any point

If you believe that we have not complied with your data protection rights, you can complain to the Supervisory Authority in your country of residence, work or where you feel the infringement happened, but we would request that you contact us first to try to rectify the issue.

Changes to our Applicant Privacy Policy
We may change this policy from time to time. We will post any privacy policy changes on this page and, if the changes are significant, we will provide a more prominent announcement by adding a notice on the careers website or by sending you an email notification. We will also keep prior versions of this Privacy Policy in an archive for your review. We encourage you to review this policy whenever you apply for a role to stay informed about our information practices and the ways you can help protect your privacy.
If you disagree with any changes to this policy, you will need to stop using the portal and delete your account(s), as outlined above.
